Department Summary

University Centers and Events (UCE) encompasses the University Union, Gateway Center and Coliseum. University Centers and Events (UCE), provides quality programs, services, and facilities that enhance the educational experience and create a community for students, faculty, staff, alumni, and guests. We assist students to become good citizens of a global community.

Position Overview

Performs advanced administrative support tasks that require independent judgment and initiative.

Minimum Qualifications

Bachelor's degree and five years of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.

Knowledge, Skills and Abilities

Exceptional communication and interpersonal skills. Advanced written communication skills. Advanced Microsoft Office skills. Knowledge of accounting/budgeting procedures. Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others. Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. Ability to conceptualize, plan and organize multiple programs and assignments effectively. Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness. Skill in developing and maintaining good working relationships. Knowledge of policies, practices, procedures and terminology of assigned function. Supervisory skills.

Job Duties

Conflict Resolution: Research and resolve management-level issues while maintaining open communication and active listening.

Customer Service: Foster positive relations through cooperative team efforts and professional communication.

Executive Support & Special Projects
  • Administrative Support: Execute special projects for the Department and Executive Director, ensuring completion within established timeframes.
  • Team Collaboration: Actively participate in the UCE team approach and serve on relevant committees as approved.
  • Communication: Manage departmental correspondence, newsletters, and monthly operational hour updates.
 
Calendar & Board Management
  • Scheduling: Coordinate complex calendars, including meetings, interviews, and events with full logistical support (locations, catering, etc.).
  • Board Liaison: Facilitate monthly Union Board of Directors meetings by establishing quorum, recording minutes, and maintaining official records (votes, rosters, and bylaws).
 
Operations & Record Management
  • Reservations: Serve as the primary backup for classroom bookings, processing requests within 24 hours and providing alternate solutions when necessary.
  • Inventory & Access: Manage Union facility access control, vehicle records, and Property/Inventory Control through EIS updates and annual audits.
  • Documentation: Prepare materials and forms for meetings, trainings, and conferences.
 
Financial & Travel Coordination
  • Purchasing: Handle P-Card transactions for Union Administration and support business office functions like cash control.
  • Travel: Coordinate comprehensive travel arrangements and expense tracking for UCE staff and interview candidates.
 
Professionalism & Problem Solving

Physical Requirements

Communicating with others to exchange information.
Lifting and Moving objects up to 20 pounds.
Moving about to accomplish tasks or moving from one worksite to another.
Sedentary work that primarily involves sitting/standing.
