Department Summary

The Correctional Medicine Department is a non-academic clinical service line within the UNT Health Clinical Practice. The department manages comprehensive medical services contracts with the Federal Bureau of Prisons (BOP) for Federal Medical Center (FMC) Fort Worth and FMC Carswell.

Correctional Medicine coordinates specialty medical care by partnering with a network of hospitals, outpatient facilities, diagnostic centers, specialty physicians, and the UNT Health physician practice. The department oversees the coordination of inpatient and outpatient specialty services, on-site specialty clinics, diagnostic testing, medical records management, provider relations, scheduling, contract compliance, and financial operations to ensure timely access to quality healthcare for the federal inmate population.

The department consists of 34 employees supporting Clinical Operations, Business Operations, Financial Operations, and Administrative Operations. Working collaboratively with internal UNT Health departments and community healthcare partners, the Correctional Medicine team is committed to delivering efficient, compliant, and patient-centered healthcare services in support of its federal contracts.

Position Overview

The Clinical Operations Specialist is a Medical Assistant who applies clinical knowledge and administrative expertise to coordinate specialty care consults and support the delivery of patient care services. This position is responsible for reviewing consult requests, determining scheduling readiness, obtaining required medical records and diagnostic results, coordinating appointments with specialty providers, and communicating with patients, healthcare providers, and internal stakeholders to facilitate timely access to care.

As a critical member of the clinical operations team, this position supports the successful delivery of Comprehensive Medical Services by ensuring specialty care consults are coordinated efficiently, required documentation is complete, and contractual performance expectations are met. The Clinical Operations Specialist works collaboratively with clinical and administrative teams to promote continuity of care, maintain compliance with departmental policies and procedures, and contribute to the overall success of the department's operations.

Minimum Qualifications

Completion of an accredited Medical Assistant program and five (5) years of demonstrated clinical office experience to include clinical scheduling for multi-specialty group practice and related back-office experience.

Knowledge, Skills and Abilities

  • Ability to review and assess specialty referrals, facilitate clinical orders, and coordinate clinical scheduling of appointments and procedures and other related clinical operations support tasks
  • Must be computer literate and technologically competent to communicate in written and electronic media at all levels within a health care organization
  • Knowledge and demonstrated capability of using clinical scheduling software, electronic medical record systems, and Microsoft Office software applications
  • Ability to successfully pass and maintain necessary security clearance Excellent written, verbal and interpersonal communication skills and ability to prioritize and multi-task in an effective and efficient manner

Preferred Qualifications

  • Certified Medical Assistant (CMA), Registered Medical Assistant (RMA), or equivalent Medical Assistant certification.
  • Two (2) or more years of experience coordinating specialty care consults, scheduling appointments, or providing clinical support in a multi-specialty physician practice, hospital, ambulatory care, or other healthcare setting.
  • Experience reviewing medical documentation, coordinating with specialty providers, and obtaining records and diagnostic results necessary to facilitate patient care.
  • Proficiency with electronic health records (EHR/EMR), Microsoft Office applications, and other healthcare information systems.
  • Strong organizational, critical thinking, and communication skills with the ability to manage multiple priorities in a fast-paced healthcare environment.

Required License/Registration/Certifications

Completion of an accredited Medical Assistant program and current Medical Assistant Certificate

Job Duties

  • Coordinate clinical scheduling for a broad spectrum of clinical specialties; performing clinical triaging of referral packages from the BOP, including reviewing inmate patient history, medical record documentation, physician orders, laboratory reports, imaging reports, and other ancillary diagnostic reports to ensure inmate patients are prepared for their scheduled appointments and/or procedures.
  • Communicate appropriate instructions, and recommended treatment plans, complete retrieval of appropriate medical records, and accurately coordinate inmate patient appointments with Correctional Network Providers and Facilities. 
  • Effectively utilize electronic scheduling and health record systems to schedule accurate specialty appointments and/or procedures, document electronic clinical scheduling reports, track pending appointments, cancellations, and no-show appointments, and report negative trends and findings to the Clinical Operations Coordinator, Clinical Operations Manager, and CMD Executive Staff, as appropriate. 
  • Facilitate the timely retrieval and reporting of medical record reports for completed specialty appointments and/or procedures to the BOP in support of UNTHSCs Comprehensive Medical Services Contract. 
  • Provide clinical operations support for BOP Health Services Staff, Correctional Network Providers, and Facilities, as necessary, to assist with clinical scheduling and oversight of clinical operations for our BOP contracts. 
  • Establish and maintain an open line of communication with all clinical operations and administrative support areas, both external and internal, as required. Participate in Clinical Operations Meetings and/or other special meetings related to UNTHSCs Comprehensive Medical Services contracts.
