The Academic Records Specialist provides front-line operational support within the Office of the Registrar, delivering quality customer service and performing a broad range of student records, course scheduling, and academic form processing functions. This position maintains accurate student records in Banner, supports course planning and scheduling activities, and assists with graduation and commencement processes in accordance with institutional policy and FERPA.

Work Location: Virginia Beach, VA 

Salary: $37,000 annually

Essential duties:

  • Deliver exceptional customer service through on-site engagement, telephone coverage, and providing informed responses to students, faculty, and staff inquiries regarding academic forms, scheduling, institutional policies, and established procedures.
  • Maintain the integrity and accuracy of student academic records in Banner, including record updates for international and conditionally accepted students, status changes, field of study modifications, and other data management transactions requiring attention to detail.
  • Evaluate and process a broad range of academic and electronic request forms, including course add/drop requests, university withdrawal forms, change of campus, academic petitions, and related student record request, ensuring timely and accurate completion in accordance with institutional policy.
  • Review, assess, and process specialized course documentation including individual study forms, course rotation forms, and internship request forms.
  • Execute timely course section updates in the student information system, including instructor assignments and relevant instructional details, in coordination with academic departments and scheduling staff.

Qualifications:

  • Bachelor’s degree or equivalent relevant experience preferred

Candidates must have:

  • Demonstrated proficiency in Microsoft Office, including Outlook, Word, and Excel, with the ability to navigate and learn institutional technology platforms efficiently
  • Familiarity with student information systems, such as Banner, or a comparable records management system
  • Willingness to develop proficiency in FERPA regulations that govern institutional policies and student confidentiality
  • Strong organizational skills with a demonstrated ability to manage competing priorities and maintain attention to detail
  • Effective written and verbal communication skills, with the ability to interact professionally with students, faculty, and staff
