The Opportunity

Based at UniSC Clinical Trials’ South Bank site, this role offers an exciting opportunity for a highly organised and motivated Administrative Assistant to support a growing team dedicated to advancing health research. You will play a key role in the smooth daily operation of clinical trials - coordinating schedules, managing room bookings, supporting recruitment activities, and assisting both staff and trial participants.

You’ll be part of a collaborative, forward-thinking team committed to innovation, excellence, and making a real difference in the lives of patients and communities. You will:

  • provide administrative support within a fast paced and changing environment, coordinating daily administration of investigators, coordination team, visitors and participants;
  • develop, implement and maintain systems and processes to ensure efficient operations of the UniSC CT site, including coordinating and managing clinical room allocation and the trial participant scheduling calendar; and
  • support and contribute to recruitment activities including preparation of print and electronic materials, assistance with organising information sessions and workshops, managing and responding to enquiries.

About you:

You are a highly organised and personable administrative professional with strong experience supporting clinical trials and medical reception environments. Skilled in managing a variety of administrative duties, you provide reliable tier 1 support and clear advice to both internal teams and external clients. You excel at scheduling, correspondence, and maintaining accurate records, ensuring participant privacy and confidentiality at all times.

With proficiency in Microsoft Office and other relevant software, you manage competing priorities effectively and deliver quality customer service with attention to detail. You take initiative to identify process improvements, communicate well across multidisciplinary teams, and adapt flexibly to the dynamic needs of clinical research settings, including travel to multiple site locations. Your commitment to professionalism and collaboration supports smooth site operations and quality outcomes for the UniSC Clinical Trials team.

You will possess:

  • Completion of an associate diploma or certificate-level qualification in administration, business, health services, or a related field, combined with relevant work experience; or an equivalent combination of education, training, and practical experience;
  • Strong computer literacy including proficiency with the Microsoft suite of tools and experience with software programs to enable scheduling, invoicing, monitoring and reporting;
  • Demonstrated ability to provide confidential administrative support, adhering to policy and regulations within the CTC environment, whilst managing workload and maintaining attention to detail;
  • Experience providing accurate advice and dealing with enquiries involving interpreting policies, procedures and guidelines while providing quality customer service;
  • The capacity to exercise sound judgement, take initiative and solve problems, as required;
  • Well-developed writing and editing skills including the ability to draft and edit correspondence, formal documentation, information materials and reports;
  • High level interpersonal skills and ability to work within a multi-disciplinary team;
  • Ability to connect and collaborate with colleagues and stakeholders in a team-based environment to achieve quality outcomes;
  • Prior experience within a clinical research/medical reception environment is preferred; and
  • Ability to be flexible to travel to differing site locations
