Position Introduction:

The front office coordinator is responsible for opening and closing the front office for International Student Services each day, as well as for creating a welcoming and friendly environment for international students. The front office coordinator will ensure the smooth operation of the International Student Services Office by providing support to ISS staff and students.

Responsibilities include:

  • Under general supervision, performs administrative support-oriented job duties, to include but not limited to resolving routine questions and problems, filing maintenance, scheduling appointments, reception, inventory management, typing, report preparation, and correspondence.
  • Maintains office files that may be of a confidential nature.
  • Schedules various appointments for ISS staff via online schedule and ensures administrative details are completed.
  • Receives incoming calls for office personnel, including student inquiries/requests, and refers to appropriate person. Records messages or responds to caller with routine information.
  • Maintain confidentiality of student information per FERPA regulations.
  • Provides information regarding location or availability of materials, resources, and services. Monitors and orders supplies for the office and completes requisitions.
  • Responsible for preparing, reviewing, and responding to routine correspondence for office personnel.
  • Opens, routes, and prepares incoming and outgoing mail.
  • Prepares various reports and makes copies and assembles materials.
  • May run errands for the department.
  • Plans and organizes meetings and programs.
  • Responsible for organizing and executing an event for collecting new international student arrival documents.
  • Hires, trains, and supervises student workers.
  • Makes travel arrangements.
  • Understand office procedures and basic immigration regulations.
  • Understand and implement internal policies regarding international students.
  • Performs related duties as assigned to successfully fulfill the function of the position.

Required Education and Experience:

  • High School Diploma or GED.
  • 24 months office, clerical, or administrative experience.

Required Certifications and Licenses:

  • Valid driver's license may be required for work in certain areas for the performance of specific job duties. (Candidates assigned to locations requiring vehicle operation must possess and maintain an active, valid driver's license)

Department Preferences:

  • Candidates with international experience preferred.
