Executive Assistant – Procurement, Partnering & Real Estate and Workforce
We’re looking for a highly organised and proactive Executive Assistant to support the EGMs of Procurement, Partnering & Real Estate and Workforce. This role plays a critical part in providing high-level executive and administrative support within a fast-paced, complex, and people-oriented portfolio that touches every part of the business.
You’ll be at the heart of two key business areas, balancing competing priorities, coordinating deliverables, and enabling the EGMs to operate strategically and efficiently. Your role will also provide seamless support across the broader leadership teams, making this a dynamic and highly visible position.
This is a permanent full-time opportunity, open to applicants based in Sydney.
Key Responsibilities
- Deliver proactive and strategic executive support to the EGM, ensuring their time, focus and priorities align with business goals.
- Manage a complex and fast-moving calendar with multiple internal and external stakeholders, including senior leaders across Procurement, Property, and Workforce.
- Triage and manage the EGM’s inbox, drafting high-quality communications, managing follow-ups, and ensuring timely action on key items.
- Coordinate the preparation, collation, and quality assurance of briefing packs, reports, and presentations for leadership and governance forums.
- Plan and support strategic meetings, events, and forums — including agenda setting, action tracking, documentation, and post-meeting coordination.
- Act as a key conduit between the EGM and business stakeholders, building trusted relationships and upholding confidentiality and professionalism.
- Arrange complex travel and accommodation logistics when required.
- Support internal communications and team engagement initiatives, including all-hands meetings, offsites, and culture events.
Qualifications and Experience
- Proven experience as an Executive Assistant supporting senior leaders in large, matrixed environments — ideally within People & Culture, Corporate Services, or Property portfolios.
- Strong ability to manage ambiguity, navigate competing demands, and anticipate the needs of a busy executive.
- Excellent organisational skills and keen attention to detail.
- Advanced proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel), with experience using MS Teams, SharePoint and other collaboration tools highly regarded.
- Outstanding communication and interpersonal skills, with the ability to build trusted relationships and manage sensitive information discreetly.
- A calm, solutions-focused mindset and a high level of emotional intelligence.
