Executive Assistant to the Executive General Manager, Motor Claims Customers
Role Overview
We are seeking a proactive and highly organised Executive Assistant to support the Executive General Manager, Motor Claims Customers. In this role, you will be instrumental in managing day-to-day commitments, ensuring a smooth, professional, and customer-focused support service. You’ll provide effective diary and inbox management, coordinate meetings and events, and offer high-level administrative support to both the Executive and the broader business unit.
This is a permanent full-time opportunity, open to internal candidates based in Brisbane.
Key Responsibilities
- Provide proactive, efficient, and professional administrative support to the Executive General Manager.
- Manage complex calendars and scheduling, ensuring effective prioritisation of meetings and commitments.
- Oversee inbox management, including monitoring, prioritising emails, and drafting responses where appropriate.
- Coordinate document preparation and management, including collation of pre-reading materials and reviewing papers for prioritisation and timely action.
- Organise and manage meetings: scheduling, preparing agendas, tracking action items, distributing relevant documents, and minute-taking when required.
- Liaise with internal and external stakeholders to coordinate meetings and engagements, including room bookings and event logistics.
- Attend and contribute to selected leadership meetings and events.
- Arrange travel, accommodation, itineraries, and related logistics.
- Coordinate and support the delivery of team events, functions, offsites, and team-building activities, including catering where required.
Qualifications and Experience
- Demonstrated experience as an Executive Assistant supporting senior executive leaders.
- High level of confidence, initiative, and the ability to work autonomously and proactively.
- Comfortable operating in a fast-paced and dynamic environment with shifting priorities.
- Proven discretion and confidentiality in handling sensitive materials and information.
- Strong attention to detail and a commitment to providing outstanding customer service.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent communication and interpersonal skills, with the ability to build effective relationships across all levels of the organisation.
- Exceptional time management and organisational skills, with the ability to manage competing priorities.
- Professional presence and demeanour in all forms of communication and interaction.
