Executive Assistant to the Bank Transition and Corporate Technology EGM
We are seeking a highly organised and proactive Executive Assistant to support the Bank Transition and Corporate Technology EGM. This is a pivotal role in providing high-level executive and administrative support in a fast-paced, complex, and strategic area of the business. You will be instrumental in managing the Executive’s schedule, communications, and coordination of key deliverables while ensuring a smooth and professional support experience across the wider leadership team.
This is a permanent full-time position, open to applicants based in Sydney.
Key Responsibilities
- Provide efficient, forward-thinking executive support to the EGM, ensuring day-to-day activities are prioritised and aligned with business needs.
- Manage a dynamic calendar and coordinate meetings across multiple stakeholders, including executive and board-level participants.
- Monitor and triage the Executive’s inbox, drafting correspondence and following up on time-sensitive actions.
- Prepare, collate, and review briefing materials, reports, and presentations for internal and external meetings.
- Schedule and coordinate strategic meetings, governance forums, and events — including agenda preparation, action tracking, minute-taking, and post-meeting follow-up.
- Act as a key liaison between the EGM and internal/external stakeholders, maintaining a high level of professionalism and discretion.
- Arrange complex travel and accommodation logistics as required.
- Assist with team communications and engagement initiatives, such as offsites, all-hands meetings, and team events.
Qualifications and Experience
- Proven experience as an Executive Assistant supporting senior executives, preferably in a large corporate or technology environment.
- Ability to operate with a high degree of autonomy, initiative, and confidentiality.
- Comfortable managing competing priorities in a high-pressure, constantly evolving environment.
- Strong attention to detail and commitment to accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience using collaboration tools such as MS Teams and SharePoint is a plus.
- Excellent interpersonal and communication skills, with the ability to build trusted relationships across all levels.
- Outstanding time management and organisational abilities.
- Professional presentation and sound judgment in all interactions.
