About the role

The Officer Administration is responsible for providing administrative and coordination support to the Thiess Institute by maintaining training audit and compliance reporting, managing talent program bookings and stakeholder care, administering accounts and journals in JDE, monitoring shared Institute email inboxes, and completing general ad-hoc administration to ensure efficient delivery of Institute services.

In this role, you will:

  • Assist Lead - Training and Compliance and Lead - LMS with compliance related tasks the unlock efficiencies across the broader team
  • Assist Leads with training coordination and stakeholder liaison and management
  • Raise, reconcile and process approved journals and account transactions in Oracle JDE in line with internal procedures.
  • Maintain accurate supporting documentation and ensure timely completion of month-end and other financial administration tasks as required.
  • Liaise with relevant stakeholders to resolve discrepancies and improve accuracy and turnaround time.
  • Maintain accurate records, registers and filing (electronic and/or hard copy) to support auditability and efficient service delivery.
  • Support use of Institute systems and tools (e.g., travel booking, shared mailboxes and trackers) by maintaining data integrity and user-friendly information.
  • Complete general ad-hoc administration and coordination tasks to support delivery of Institute services and priorities.
  • Assist with preparatory tasks for Leads as required

About you

  • Minimum high school/tertiary education with related experience
  • Experience in mining training, compliance or operational roles desirable
  • Experience supporting or conducting training compliance audits desirable
  • High level of English - oral and written communication
  • Proficient in Microsoft Office suite
  • Strong planning and organisational skills
  • High level of time management and attention to detail
