Executive Assistant

Each day, you’ll go above and beyond to: 

  • Ensure your Executives are fully and seamlessly supported in an accurate and timely manner in all aspects of the execution of their role, and that their time can be directed to managing executive level activity  

  • Ensure all administrative matters in the office are undertaken proactively and efficiently including but not limited to diary and email management, travel arrangements, expense management  

  • Ensure Executives’ time is structured according to their priorities and that they are prepared for meetings, conferences, and functions  

  • Attend meetings, as directed, and take/manage actions where appropriate  

  • Complex travel management , including international 

  • Management of contract/expenditure approval flows and associated documents  

  • Onboarding / offboarding of Executives direct report employees including creating roles in SAP, SAP movements, ordering provisioning (laptops, log-ins, security passes)  

  • Ensure enquiries are dealt with in a professional and effective manner, through either personally handling enquiries or delegating them to appropriate person  

  • Maintenance of distribution lists, shared drive access  

We are looking for the best and brightest to deliver the best for the customers. You’ll need:   

  • Demonstrated experience working in a similar Executive Assistant role  

  •  Experience in monthly expense management and contract/expenditure approval process  

  • Advanced administration skills and highly competent in Microsoft Office is essential  

  • Strong organisational and communication skills along with an eye for detail   

  • Proven experience liaising with senior stakeholders, ability to deal appropriately with confidential information   

  • Ability to work in a fast-paced, at times complex environment  

  • Sound time management skills with the ability to multi-task and prioritize accordingly
