About the Role
The School Operations Coordinator plays a key role in supporting the School Manager and ensuring the smooth delivery of essential administrative and operational activities. As part of the core professional team, you will oversee financial planning, infrastructure, resource management, and special projects, while providing expert guidance on operational matters.

This dynamic role offers the chance to contribute to the school’s success through effective coordination, supervision, and strategic support, making it ideal for someone with a passion for organisation and operational excellence.

Your responsibilities will include:

  • Provide high level support to the School Manager to identify, review, adapt and implement new processes and workflow tools, within the context of continuous improvement and innovation.
  • In conjunction with the Head of School and School Manager, support the development of the annual operational and workforce plan.
  • In conjunction with the School Manager, identify key areas for professional casual support to advance the School’s strategic and operational plans.
  • Confidently identify and oversee appropriate University processes for engaging external service providers across teaching and research. Provide advice and manage the process of issuing contracts, invoicing, manage pay schedules and triage ad-hoc queries.
  • In consultation with the relevant School Manager, support School transactional finance activities, such as; coordinating internal journal requests, creating local accounts, monitoring expenditure, overseeing purchasing and procurement, investigating and resolving local financial queries and casual pay issues.
  • Provide high level advice and triage queries received from the School community. Investigate solutions, audit accounts and develop self-service materials in collaboration with the relevant Faculty or University Business Units.

Who We Are Looking For
We are looking for a skilled professional with experience in financial systems, strong analytical and problem-solving abilities and the capacity to provide accurate advice within guidelines. You'll thrive in a dynamic environment, excelling at project management, communication, and building relationships across all levels.

You will also have:

  • A relevant tertiary degree with subsequent relevant experience, or an equivalent combination of relevant experience and/or education and training.
  • Demonstrated experience with financial systems, an ability to understand the University’s Chart of Accounts and Budget Allocation Model.
  • Proven ability to interpret policies and procedures in order to provide accurate advice and complete tasks appropriately within a framework of broad guidelines.
  • Demonstrated ability to effectively supervise staff and work successfully in a team environment and be flexible in handling varied and complex work assignments.
  • Demonstrated analytical and problem-solving skills with an ability to exercise judgement, deliver creative solutions and negotiate outcomes.
  • Strong organisational and project management skills with the ability to set priorities and meet deadlines, with a proven capacity to work on multiple projects simultaneously and thrive in a fast paced, changing environment.

This role requires that the successful candidate must undergo and maintain an up-to-date Working with Children Check.
