About the Role
The Receptionist/Administration Officer serves as the first point of contact for the Deanery, providing friendly and professional front-line services to staff and visitors while ensuring smooth daily office operations. Reporting to the Deanery Administration Manager, this role includes managing enquiries, supporting administrative tasks and projects, maintaining Deanery systems, and assisting with meeting coordination. Success in the role requires strong communication, prioritisation, and organisational skills, along with a positive attitude and keen attention to detail.

Your responsibilities will include:

  • Meet and greet visitors and manage phone, email, and staff enquiries.
  • Interpret and resolve administrative queries efficiently, identifying solutions to problems as they arise.
  • Collaborate with the Administration team to provide general and project-specific administrative support, as directed by the Deanery Administration Manager.
  • Oversee relevant systems, including room-booking systems, shared resource calendars, and meeting room equipment.

Who We Are Looking For
The successful candidate will demonstrate exceptional organisational and communication skills, with the ability to handle confidential information, liaise effectively with stakeholders at all levels, and maintain professionalism in a dynamic environment. They are proactive, detail-oriented, and adaptable, with a strong work ethic, a positive attitude, and the ability to balance competing priorities while working both independently and collaboratively to achieve organisational objectives.

You will also have:

  • Completion of a diploma qualification and at least 2 years’ subsequent relevant work experience or an equivalent combination of relevant experience and/or education and training.
  • Experience in liaising with senior executives and professionals, including handling confidential information, and knowing when to escalate appropriately.
  • Ability to work independently and collaboratively with a flexible attitude to work in a multidisciplinary team environment.
  • Demonstrated problem solving skills and a proactive approach to identifying and resolving issues using sound judgement.

This role requires that the successful candidate must undergo and maintain an up-to-date Working with Children Check. This is essential to guarantee a secure environment for all individuals at the University.
