About the Role
The Executive Officer to the CFO is a pivotal role within a dynamic team, providing comprehensive support to ensure the smooth functioning of the CFO office. This position encompasses a wide range of responsibilities, from administrative tasks and project management to stakeholder relationship building and strategic communications. The ideal candidate will possess excellent organisational skills, a proactive mindset, and the ability to manage multiple priorities while maintaining discretion and professionalism in all interactions.
Your responsibilities will include:
- Oversee the administrative and executive support functions for the CFO, ensuring seamless workflow management and operational efficiency.
- Develop, document, and uphold processes for effectively managing the CFO’s email inbox, including reviewing, prioritising, and taking appropriate action or redirecting correspondence as required.
- Efficiently coordinate the calendars of the CFO and Executive Director, Financial Resources, resolving scheduling conflicts, prioritising commitments, and ensuring key deadlines are met. Proactively plan and manage critical events and appointments.
- Ensure the CFO is thoroughly prepared for meetings and engagements by providing relevant information, background briefings, and necessary materials in advance.
- Set meetings, support committees or working groups by preparing agendas, drafting meeting minutes, and managing action tracking.
Who we are looking for
You will have exceptional organisational and interpersonal skills, with a proactive, solutions-focused approach to anticipating and fulfilling executive needs. Your strong communication abilities, professional discretion, and capacity to build trust across all organisational levels will enable you to manage sensitive information with the utmost confidentiality.
You will also have:
- A qualification with relevant experience, or an equivalent combination of relevant experience and/or education/training
- Proven track record in dynamic senior executive support and secretariat roles, adept at managing day-to-day activities such as diary management, correspondence preparation, and information management.
- Advanced proficiency in Microsoft 365 suite (Word, Outlook, Excel, PowerPoint) and quick adaptability to new software packages.
- Strong interpersonal skills with the ability to build trust and rapport across all organisational levels, with excellent written communication skills for drafting high-quality documentation.

This role requires the successful candidate to undergo and maintain an up-to-date Working with Children Check. This is essential to guarantee a secure environment for all individuals at the University. In the case the selected candidate doesn't have a valid Working with Children Check, they will be able to apply for the WWCC as part of the initial onboarding procedures.
