About the Opportunity

We are seeking a highly organised and proactive Project Administrator to join our dynamic team. This role is key to ensuring the successful mobilisation and transition of facility management contracts. You will work closely with a variety of business stakeholders, supporting the end-to-end process from bidding and tendering through to the contract 'go-live' phase and service delivery.

In this role, you will work closely with the Contract Transitions Manager to coordinate delivery of multiple work streams, including operational management, HR and recruitment, PPE, systems, and IT, ensuring all activities are aligned with customer expectations and contractual obligations. Your responsibilities will also include overseeing the RACI matrix management and conducting post-mobilisation reviews, to ensure continual improvement for future project mobilisations.

Leveraging your exceptional stakeholder engagement and organisation skills, your key responsibilities will be:

  • Manage and coordinate the administration and mobilisation of facility management contracts.
  • Work closely with stakeholders to ensure timely and successful contract transition from pre-bid through to service delivery.
  • Oversee work streams across HR and recruitment, IT systems, PPE, and more, ensuring resources and processes align with project timelines.
  • Develop and maintain RACI matrices to ensure clarity of roles and responsibilities throughout the mobilisation process.
  • Conduct post-mobilisation reviews, identifying areas for continuous improvement for future mobilisations.
  • Ensure seamless communication and collaboration with both internal teams and external partners.
  • Document and track progress to ensure projects are delivered on time and to customer satisfaction.

 

About You

To be successful in this role, you will have previous experience in project administration or coordination, ideally with a delivery provider in the maintenance or facilities management industry or similar. Experience with contract transitions/mobilisations or involvement with coordinating people, process or systems for new programs of work is highly advantageous, however not essential.  You will possess excellent organisational skills, an eye for detail, and a proactive approach to problem-solving.

Additionally, you will demonstrate and possess the following:

  • Project Management qualification advantageous, however not essential.
  • Strong coordination and multi-tasking abilities.
  • Familiarity with creating and managing project management tools such as gant charts, RACI matrices etc.
  • Experience working closely with cross-functional teams to deliver projects.
  • Excellent communication skills and the ability to manage stakeholder relationships effectively.
  • Proficiency in MS Suite (Teams, Sharepoint, Excel, Word, Outlook, PowerPoint).
