About the Opportunity
We are seeking a detail-oriented Administration Assistant to join our team, responsible for providing general administration support and work coordination for a key facility management contract. This includes assisting with accounts, high volume data entry, optimising resource allocation, and ensuring compliance with service delivery standards.
This permanent, full-time role is based at Melbourne Airport and will play a pivotal role in supporting operational efficiency and ensuring alignment with contractual, financial, and safety requirements.
Through exceptional administration and coordination support, your key responsibilities will be:
- Raise and manage purchase orders in accordance with company procurement procedures, ensuring timely processing and accurate entry into financial and maintenance systems.
- Manage high-volume data entry with precision and efficiency, maintaining the integrity of administrative and operational records.
- Coordinating site access and logistics for tradespeople and contractors
- Organising staff uniforms to ensure a smooth transition into the team
- Supporting the Facility Management team in day-to-day operations
- Maintain comprehensive and accurate records across all aspects of operations, including compliance documentation, safety records, and service logs, while assisting in the preparation of regular performance and operational reports.

About You
To be successful in this role, you will have a proven background in providing administration, ideally in an organisation delivery trades or maintenance services. The ideal candidate will have strong organisational skills, a proactive approach to problem-solving, and a keen eye for detail.
Additionally, you will demonstrate and possess the following:
- Previous administrative experience (maintenance or facilities management preferred, but not essential).
- Familiarity with accounts systems and processes.
- Knowledge of ERP & Business Management Software (Promap, Maximo & Touchstone is a plus).
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Strong time management and organisational skills.
- Excellent communication and teamwork abilities.
- Ability to manage multiple tasks and pay attention to detail.
- Positive attitude, strong motivation, and a proactive approach.
