About the Opportunity
We are seeking a detail-oriented Administration Assistant to join our team, responsible for providing general administration support and work coordination for a key facility management contract. This includes assisting with accounts, reporting, creating efficient schedules, optimising resource allocation, and ensuring compliance with service delivery standards for strategic asset management, digital engineering, and maintenance services.
This permanent, full-time role is based in Gatton (QLD) and will play a pivotal role in supporting operational efficiency and ensuring alignment with contractual, financial, and safety requirements.
Through exceptional scheduling and coordination, your key responsibilities will be:
- Provide general administrative support for maintenance activities, ensuring smooth operations.
- Assist in maintaining detailed maintenance schedules to optimise resource use and minimise downtime.
- Coordinate planned, reactive, and preventative maintenance tasks with internal teams and external contractors.
- Track and report on maintenance progress, ensuring alignment with contractual requirements and KPIs.
- Maintain accurate data in maintenance management systems and keep comprehensive records.
- Support process improvements to enhance operational efficiency and scheduling accuracy.
- Help integrate digital solutions to streamline maintenance reporting and operations.
About You
To be successful in this role, you will have a proven background in providing administration, ideally in an organisation delivery trades or maintenance services. The ideal candidate will have strong organisational skills, a proactive approach to problem-solving, and a keen eye for detail.
Additionally, you will demonstrate and possess the following:
- Previous administrative experience (maintenance or facilities management preferred, but not essential).
- Familiarity with accounts systems and processes.
- Knowledge of ERP & Business Management Software (Navision/Dynamics 365 is a plus).
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Strong time management and organisational skills.
- Excellent communication and teamwork abilities.
- Ability to manage multiple tasks and pay attention to detail.
- Positive attitude, strong motivation, and a proactive approach.
