About the Opportunity

We are seeking an experienced Bid Coordinator to join our high-performing Open Spaces team within the Programmed Property Services business unit, where we specialise in delivering exceptional grounds management and open spaces maintenance services. In this pivotal role, you will lead the end-to-end bid process, ensuring the delivery of compelling, compliant, and commercially sound proposals that support our growth across universities, schools, federal and local governments, parks and commercial enterprises.

This permanent, full-time based in either Notting Hill or Docklands (VIC) is central to driving business development outcomes. You will collaborate closely with operational teams, subject matter experts, and senior leadership to shape winning strategies, manage timelines, and ensure high-quality submissions that reflect our commitment to excellence in open space and grounds maintenance.

Through your bid management expertise and leadership, your key responsibilities will be:

  • Lead the development and submission of bids, tenders, and proposals for grounds maintenance contracts.
  • Coordinate input from cross-functional teams including operations, finance, and compliance to ensure accurate and timely submissions.
  • Develop bid strategies that align with client needs and company capabilities, enhancing win rates.
  • Manage bid timelines, documentation, and governance to ensure compliance with client and regulatory requirements.
  • Write and edit proposal content to clearly articulate value propositions, differentiators, and service offerings.
  • Conduct post-bid reviews and analysis to identify lessons learned and continuous improvement opportunities.
  • Maintain a library of bid templates, case studies, and project profiles to support future submissions.
  • Build strong relationships with internal stakeholders and external partners to support collaborative bid development.

 

About You

To be successful in this role, you’ll bring a proven track record in bid management, ideally within grounds maintenance, facilities services, construction, or a similar operational environment. You’ll be highly proactive, an exceptional communicator, and adept at engaging with a wide range of stakeholders to craft compelling proposals and drive business growth.

Additionally, you will demonstrate and possess the following:

  • Relevant tertiary qualifications in business, marketing, communications, or equivalent professional experience.
  • Knowledge of open spaces, horticulture, or grounds maintenance is highly desirable, though not essential.
  • Excellent communication and presentation skills with the ability to engage and influence stakeholders at all levels.
  • A proactive approach to problem-solving and process improvement.
  • Proficiency in MS Office Suite (Word, Excel, Outlook & PowerPoint).
