Position Purpose

To deliver service excellence to the contract through effective business administration services related to Claims to ensure the delivery of all required works in a safe, timely and client desired manner, meeting Programmed Facility Management (PFM) and Homes NSW quality standards.

Qualifications & Experience

 

Qualifications

  • Certificate in office administration or a relevant business-related discipline.

Experience & Knowledge (Desirable if in italics)

  • Experience as a Business Administrator within a busy office environment within a multi-site company.
  • Excellent analytical skills and able to make decisions accordingly.
  • High Attention to detail
  • Work independently and follow the escalation Process.
  • Beginners Microsoft Excel knowledge
  • Well organized, self-starter and able to work to tight deadlines with accuracy.
  • Intermediate computer literacy in both Windows and business-based applications.
  • Experience with Navision business management software or equivalent

 

Responsibilities

  • Review and analyze claims ensuring they are processed and registered in the appropriate systems.
  • Technical expertise to navigate multiple Process tools and systems within the Company’s policy and standards.
  • Ensures the processing of claims is completed within the required time frames with accuracy as per the set KPIs.
  • Liaise with the internal stakeholders to follow-up on Pending Claims within the set timeframe to action specific tasks.
  • Take ownership and responsibility for new tasks and support the team to achieve within set deadlines.
  • Ensure all claims allocated are actioned in accordance with the contents of the contract and ensure the team meets business outcomes and timelines.
  • Collaboration with the team during team discussions by being Proactive and providing ideas and suggestions for Process Improvements.
  • Ensures compliance with all aspects of company policy, systems, procedures and legislative requirements.
  • Always Observe core values of Programmed Facility Management at all times.

 

Benchmarks for Success

Our aim is that everyone has an opportunity to sit down with their line manager to clarify the expectations of their role, identify key performance indicators (KPIs) and outline specific projects to be completed. Another important aspect of these discussions is to explore areas of development and learning and developing opportunities to build and grow skills and advance careers. These discussions occur in the Review and Reflection period held yearly.

 

In this role the KPI’s will generally focus on the following areas:

  • Operational performance targets.
  • Customer service & feedback targets.
  • Health Safety Environment targets; and
  • Living our values.
