About The Opportunity

Programmed Facility Management is seeking a proactive and organised Team Assistant to support the Homes NSW contract. This role provides essential administrative support to the Contract Executive and broader team, ensuring accurate, timely, and compliant delivery of contract administration requirements.

Based within the NSW team, this position offers the opportunity to engage with a wide stakeholder group and may include occasional travel to Dubbo and Orange to attend leadership meetings. Working across a busy and dynamic environment, the role supports contract performance, customer satisfaction, and the proactive management of KPIs through effective governance, reporting, and continuous improvement.

 

Key Responsibilities

  • Provide administrative support to the Contract Executive and contract team.
  • Maintain contract registers, records, and filing systems in line with Homes NSW requirements.
  • Assist with meeting coordination, minute taking, and follow-up of actions.
  • Support subcontractor account management, invoicing, and reconciliations.
  • Prepare reports and ensure documentation meets quality, confidentiality, and compliance standards.
  • Coordinate information across stakeholders to meet reporting and contract deadlines.
  • Support continuous improvement, cultural initiatives, and workplace safety practices.

 

About You

You are an organised and detail-focused Team Assistant with a positive, “can-do” attitude. You will also bring:

  • Proven experience in administrative support, preferably within contract environments.
  • Strong customer service, communication, and stakeholder engagement skills.
  • Excellent organisational and time management capabilities.
  • Intermediate Microsoft Office skills (Word, Excel, Outlook, PowerPoint).
  • Ability to manage multiple tasks, interpret reports, and support process improvements.
  • Experience with business management systems and exposure to Copilot or AI tools (desirable).
