About The Opportunity
Programmed Facility Management is seeking an experienced Contract Administrator to join our Brisbane team based in Spring Hill. This is an excellent opportunity to be part of a team delivering essential maintenance services to a variety of contracts and industries.
In this role, you will be responsible for managing contracts throughout their lifecycle, ensuring that terms, conditions, and obligations are clearly defined and adhered to by all parties. The role involves preparing and reviewing contract documentation, coordinating with internal teams and external contractors, and monitoring performance, compliance, and variations.

Reporting line: General Manager
Key Responsibilities

Draft, review, and finalize contracts, ensuring terms, conditions, and specifications align with legal and organizational requirements.

Monitor contracts to ensure all parties comply with agreed terms, deliverables, timelines, and regulatory requirements.

Maintain accurate contract records, including amendments, correspondence, variations, and approvals.

Assist in negotiating contract terms, pricing, scope changes, and risk allocation with clients, suppliers, or subcontractors.

Manage contract variations, change orders, and amendments, ensuring they are documented, approved, and reflected in the contract.

Liaise with project managers, legal teams, procurement, finance departments, and external contractors to ensure smooth contract administration.

Identify contractual risks, disputes, or non-compliance issues and escalate or resolve them appropriately.

Track contractor performance and milestones to support payment approvals, invoicing, and financial reporting
About You
To excel in this position, you will be an experienced Contract Administration professional, preferably within facilities or construction, with excellent communication skills and attention to detail. Ideally, you will also possess:
- Relevant qualifications in business, project management, or contract law would be desirable
- Ability to work well within a team to support shared objectives.
- Strong customer service skills with the ability to build positive stakeholder relationships.
- Ability to manage multiple tasks accurately and with attention to detail.
- Clear and effective verbal and written communication skills.
- Ability to identify and resolve contract-related issues.
- Responsiveness to changing priorities in a fast-paced environment.
- Experience with work order or asset management systems (e.g. Loc8) and data tools like Excel.
