About the Opportunity

Follow a period of successful growth an exciting opportunity has become available for a Service Delivery Coordinator to join Programmed's Facility Management business, supporting our Transpower contract from our Petone office.

Reporting to the National Manager you'll play a critical role in supporting the day-to-day operations of our field teams across three regions. Acting as the central coordination point between technicians, subcontractors, Service Delivery Managers and the customer, you'll ensure maintenance activities are delivered efficiently, accurately and on time.

 

Key Responsibilities

  • Coordinate reactive and planned maintenance work orders using Maximo and Dynamics 365
  • Provide day-to-day operational and administrative support to Service Delivery Managers and facilities services technicians
  • Coordinate subcontractors, materials, travel and resources to support service delivery
  • Manage work order allocation, completion and reporting through the Computerised Maintenance Management System (CMMS)
  • Process vendor invoices, purchase orders, credit card reconciliations, timesheets and cost allocations accurately
  • Liaise with customers, subcontractors and internal stakeholders to resolve enquiries and ensure seamless service delivery
  • Attend monthly operational meetings with Transpower, prepare meeting minutes and track action items
  • Participate in toolbox meetings and support internal and external audit activities

 

About You

You'll be a highly organised administrator with a passion for supporting operational teams and delivering exceptional customer service.

To be successful in this role, you'll demonstrate:

  • Experience in an operational support, service coordination or administration role
  • Strong administrative skills with excellent attention to detail
  • Experience processing invoices, purchase orders, timesheets or operational costs
  • Proficiency in Microsoft Outlook, Word and Excel
  • Experience using CMMS, ERP or work management systems (such as Maximo or Dynamics 365) will be highly regarded
  • Excellent written and verbal communication skills
  • Strong organisational and time management skills, with the ability to manage multiple priorities
  • The ability to work both independently and collaboratively within a close-knit team
