As a permanent Village Administration Utilities within the Pilgangoora Operations, you’ll be supporting a reputable mining and minerals organisation in the Pilbara.
You’ll support delivery of essential on-site services including village management, catering, cleaning and utilities, helping create a safe, welcoming home away from home for remote workers.
Located 140km south of Port Hedland, this role goes beyond operations. It’s about building care, consistency and community on site.

Key Responsibilities
The Village Administration Utility is primarily responsible and accountable for mobilizing, onboarding, and greeting / checking-in both Residents and Employee’s into the Village, utilizing Client and Programmed systems and procedures. The Administration Utility will provide excellent customer service and demonstrate extensive knowledge of the Village, the operations, available amenities, and services.
Duties include:
- Site mobilisation and access for Residents and Employees, including Medical Clearances, required Training and Travel bookings via Client systems
- Resident Front Desk / Reception tasks including check-in, room / housekeeping requests
- Assistance with month-end financial and reporting duties
- Providing the Village Manager with adhoc / cleaning reports, scheduling required meetings, minuting daily team meetings, activities and rostering support
- Assisting the Village Manager with the day-to-day operation of the mining village, ensuring that it is a safe and secure environment for both Residents and Visitors and facilities are maintained to a high standard, at all times
- Monitoring freight manifest, goods received and logging
- Ensure compliance with company policies and procedures, including health and safety, environmental, and quality standards
- Liaise with other departments and stakeholders, including procurement, and project managers, to ensure the smooth operation of the mining site
- Assist other site departments, such as the Retail Shop from time to time, if required
The incumbent is a key person to the Village Management Team and is involved in promoting positive staff morale and a safe work environment, ensuring quality systems, and supporting business and client focus within the PFM business and across the company.
About You

To join our team, you will be an experienced and highly organized Site Administrator, with a “can do” attitude, excellent attention to detail and passion for providing first-class customer service. Additionally, a commitment to the safety of yourself and others, and a knack for people engagement.
You will possess:
- Australian Working Rights
- VALID Australian C Class Driver’s License
- Ability to pass comprehensive (Client) Pre-Employment Medical including Instant Drug and Alcohol Screening
- Current satisfactory National Police Check (within 6 months)
- Previous experience at a Village / Minesite
- Advanced experience with Client Mobilisation systems (INX, PeopleTray)
- First Aid (desirable)
Additionally, you will also possess the following skills:
- Advanced Systems and Technology experience i.e., MS Office, online/web-based Safety, Payroll & Training requirements
- Ability to work in a Team; be a self-motivator and take instructions
- Ability to prioritise and adapt to changing work tasks in a fast-paced environment
- Demonstrate a professional approach in the workplace, with excellent customer service skills
- Have a strong commitment to the safety of yourself and others
