About the Opportunity

We are seeking a proactive and highly organised Project Coordinator to play a key role in supporting the planning, design, and delivery of minor capital projects for a key water authority client across metropolitan Melbourne.

You’ll work closely with project managers, contractors, and internal stakeholders to ensure projects are delivered efficiently and effectively.

This permanent, full-time position is based on-site at the Brooklyn Pump Station in Brooklyn and offers an exciting opportunity to contribute to the growth and efficiency of critical sewer infrastructure, while developing your career in the water and utilities sector.

Key Responsibilities

  • Actively support project delivery by maintaining project schedules in MS Project, Altus, and Project Management tools
  • Maintain, update, and quality-check project documentation and reporting
  • Assist the Project Team in delivering project expectations
  • Coordinate meetings, prepare agendas, and follow up on action items
  • Support budget tracking and procurement processes through Maximo and D365
  • Liaise with internal and external stakeholders to ensure smooth project delivery
  • Respond to competing priorities and tight deadlines with confidence and clarity

About You

To be successful in this role, you will have a solid background in project coordination or project administration, with experience in supporting the delivery of minor capital projects, preferably within the water, utilities, or infrastructure sectors. You will be a detail-oriented problem solver, capable of effectively managing multiple priorities and working collaboratively with internal and external stakeholders.

Additionally, you will demonstrate and possess the following:

  • Intermediate proficiency in MS Excel (data tracking, reporting, pivot tables)
  • Working knowledge of MS Project or other scheduling software
  • Experience in Maximo, Altus (Project Portfolio Management Software) and D365 (desirable)
  • Strong organisational skills with the ability to manage multiple tasks and deadlines while working in a high pressure operational environment
  • Excellent communication and stakeholder management skills
  • Proactive mindset with a willingness to take initiative and solve problems
