The West Gate Tunnel is a partnership between the Victorian Government and Transurban. The Joint Venture has been chosen as the preferred contractor for construction, which will begin in 2018 following planning assessment. 

About the Project

The West Gate Tunnel Project is a city-shaping project that will deliver a vital alternative to the West Gate Bridge, provide quicker and safer journeys, and remove thousands of trucks off residential streets.

About the Opportunity

To support the delivery of the West Gate Tunnel Project we are looking for an Office Coordinator to join our Precast Manufacturing team in Benalla. We are seeking someone to contribute to the West Gate Tunnel Project by providing professional services to internal and external stakeholders and to act as the first point of contact for all company queries whilst providing administrative support across the office.

This is an exciting opportunity to play a key role in the largest Precast Manufacturing Facility in Australia and be part of the team supporting the West Gate Tunnel Project. During peak production, up to 1500 tonnes of concrete per day will be produced with a workforce of up to 300 people.

 Typical Tasks and Responsibilities

  • Act as the first point of contact by greeting, welcoming, directing and announcing visitors appropriately; Efficiently answer, screen and forward any incoming phone calls whilst providing generalist information when required
  • Provide customer service to the client, external vendors, subcontractors, and community stakeholders as required
  • Maintain a tidy and welcoming reception area
  • Provide and assist guests and staff with Wi-Fi access as required
  • Provide onboarding IT equipment and PPE
  • Coordinate and manage Visitor Access Passes accordingly
  • Ensure registers are maintained and access cards are returned by Visitors at the end of their stay
  • Ensure appropriate sign-in procedures take place
  • Monitor meeting rooms to ensure they are left tidy and presentable
  • Maintain & coordinate v/line travel & cab charges
  • Maintain and coordinate accommodation bookings
  • Coordinate catering requests for meetings/training as required
  • Provide administrative support which may include arranging and attending meetings, conferences, functions, taking and distributing minutes
  • Perform administration tasks such as filing, copying, mail and collating information
  • Maintain project filing and database systems, storing information accurately and safely
  • Assist with the Control of Documents
  • Sorting, distributing and lodging mail requests for the office
  • Assist Senior Management with reporting requirements
  • Assist the day-to-day operations of the finance team, including accounts & payroll functions
  • Perform all duties in accordance with WGTP policies, processes, reporting, systems and procedures

What you'll need to succeed

  • Business Qualifications (Diploma or Degree)
  • 5+ years experience in an office/reception environment
  • Administration and document management practices
  • Experience using database management systems
  • Excellent Communication & presentation skills
  • Computer Literacy Skills
  • Knowledge of accounts and payroll systems highly desirable
