The Opportunity

We have an excellent opportunity for an Executive Assistant based in Brisbane. This role will support the General Manager, SHES (Safety, Health, Environment, Sustainability) in fulfilling their operational and strategic objectives by providing effective and efficient secretarial and administrative support services.

Key accountabilities will include:

  • Deliver accurate, timely and responsive personal administrative support including:
    • Managing and prioritising incoming correspondence and phone calls
    • Managing and overseeing incoming and outgoing correspondence, email and documentation
    • Maintaining an effective filing/archiving system to ensure records and documents are suitably protected from a confidentiality viewpoint, damage and are readily available
  • Ensure effective personal organisation including:
    • The provision of effective diary management to ensure optimal time management
    • Organising meetings, functions and conferences as required, internally and externally
    • Organising domestic and international travel/accommodation bookings
  • Ensure the effective delivery of personal administration services and support including:
    • Planning and scheduling own work to meet required timelines and outputs
    • Understanding requirements and clarifying as appropriate

Our Requirements

  • Secretarial/business administration qualifications
  • Advanced Microsoft Word, PowerPoint and Excel skills
  • Significant experience in similar level role, preferably in Construction or related industry
  • Extensive experience as a personal assistant to senior management levels
  • Demonstrated ability dealing with sensitive and confidential issues
  • Ability to work to deadlines and manage conflicting priorities in a high-volume work environment
