The Project 

The New Dunedin Hospital project is the single largest hospital project ever undertaken in New Zealand. Following an extended period of Early Contractor Engagement, Te Whatu Ora Health New Zealand has confirmed their intention to enter into contract with CPB Contractors for the Inpatient Building, in recognition of our depth of experience in the delivery of healthcare facilities across Australasia and our contribution to the project to date.

Spanning 71,700m2 and constructed on the former Cadbury Chocolate Factory in the centre of the city, the Inpatient Building will provide high-quality acute medical facilities in support of its role as a tertiary teaching hospital. Onsite services will include 424 beds, including future expansion of 53 beds. A total of 24 theatres, including a future capacity of 2 theatres, imaging suites and radiology. With a five-star Greenstar sustainability rating, the building's design and its use of the latest technology will provide real change to the delivery of healthcare within the region.

Your Opportunity

  • The Personal Assistant will primarily provide administration support to the Project Director however, the role will also support the broader team to ensure the Project’s collective success
  • The Personal Assistant will perform a range of tasks to ensure smooth running of the project. 
  • The Personal Assistant will act as a point of contact between the Project Team, Participant companies, and the Project stakeholders
  • Provide comprehensive calendar support, prioritising engagements and ensuring smooth communication across internal and external stakeholders
  • Handle scheduling, minute-taking, and follow-up actions for meetings –including with external stakeholders and clients
  • Administer finance processes as required including organising travel overseeing purchase orders, invoices, and expense claims, ensuring accuracy and compliance with Company procedures/policies
  • Assist in preparing and submitting papers, including but not limited to reports, presentations, and technical papers.
  • Assist in the preparation of documents including letters, policies, papers, guidelines, presentations, management plans
  • Registering and overseeing incoming and outgoing correspondence and documentation
  • Actively liaise/build strong relationships and networks with client, project team, subcontractors and suppliers
  • Ensure compliance with all relevant legal and regulatory requirements and all relevant Company and Group policies and processes.

Our minimum requirements for this role are:

  • NZQA level 3 certificate
  • Previous experience in the construction industry is desirable
  • Relevant administration qualifications and/or proven experience as a Personal Assistant (5-10 years) preferably supporting senior management
  • Proficiency in Microsoft Office Suite (PowerPoint, Word, Excel) and collaborative tools such as SharePoint and/or OneDrive for Office 365
  • Experienced in report writing (including layout and formatting)
  • Exceptional verbal and written communication skills, with the ability to tailor messages to different audiences
  • A deep understanding of how various groups and strategic leaders interrelate, coupled with a high emotional intelligence to influence stakeholders in support of Project goals
  • Strong multitasking abilities, exceptional time management, and maintaining confidentiality.
