What you’ll do:

As the Administration Coordinator, your primary focus will be to provide professional, efficient, and wide-ranging administrative support to the Corporate Legal team, including Company Secretariat and Compliance functions. Reporting directly to the General Counsel, your role will involve working collaboratively with internal and external stakeholders to ensure operational efficiency and support for key functions.

Key Responsibilities: 

1. Prepare, draft, collate, gain approval, execute, and file legal documents.

2. Assist with integrity/risk assessment searches (e.g., public register searches) and document notarisation or apostille processes.

3. Maintain company secretarial registers and documentation (e.g., KYC records, licenses register).

4. Coordinate and facilitate legal team meetings by managing planning, agendas, and minutes.

5. Collaborate with administrative assistants of Group Executives and TGH Board members to coordinate Board, Board Committee, and Management Committee meeting materials and logistics.

6. Monitor legal expenses to ensure alignment with approved budgets and process invoices while preparing legal spend reports.

7. Proactively apply health and safety standards and reassess hazards if conditions change.

8. Build relationships with a shared focus on common goals and objectives, while maintaining clear communication lines with stakeholders.

What You'll Need to Succeed:

We’re looking for a highly organised and detail-oriented individual with a strong administrative background, ideally within a legal or executive team environment. Completion of Year 12 or a TAFE Certificate is essential, and experience in a global or matrix organisation is highly regarded. To excel in this role, you’ll need to be proficient in MS Office, possess excellent communication skills, and have the ability to manage competing priorities while maintaining high accuracy and attention to detail. A proactive mindset, strong problem-solving abilities, and the ability to build effective working relationships are key. Candidates who bring flexibility, teamwork, and a solutions-oriented approach will thrive in this position.
