About the role
We are seeking a highly organised and proactive Executive Support Coordinator to join our Brisbane Head Office team. Supporting two Group Executives, you will play a pivotal role in ensuring seamless day-to-day operations while acting as a trusted business partner across the broader leadership team.
This role is ideal for an experienced executive support professional who thrives in a fast-paced environment, enjoys working across a variety of priorities, and brings strong judgement, discretion, and communication skills.
Please note, this position is a fixed-term contract for 6 months.
Key responsibilities:
- Managing complex executive calendars, meetings, travel and competing priorities
- Proactively monitoring inboxes and correspondence, identifying actions and ensuring timely follow-through
- Preparing presentations, reports, communications and executive-level documentation
- Coordinating leadership meetings, forums and team events
- Supporting internal communications and engagement activities
- Assisting with the coordination of strategic projects and initiatives
- Building strong relationships with stakeholders across the business and external partners
- Acting as a trusted point of contact and representing the Executive team professionally and confidently
What You’ll Need to Succeed
You will bring significant experience supporting senior leaders within a corporate environment and have a proven ability to anticipate needs, solve problems and manage sensitive information with discretion.
You will also demonstrate:
- Extensive experience in Executive Support, Executive Assistant or senior coordination roles
- Exceptional organisational skills and the ability to manage multiple priorities simultaneously
- Outstanding written and verbal communication skills
- Strong stakeholder management and relationship-building capability
- Advanced Microsoft Office skills, including PowerPoint, Word and Excel
- A proactive mindset with sound judgement and initiative
- High levels of professionalism, confidentiality and attention to detail
- Experience within mining, engineering, construction or similar industries will be highly regarded
