What does the job look like?

Linfox's Intermodal business unit have an opportunity for an Administration & Compliance Coordinator to join our Mackay team. In this role, you will take ownership of critical administrative, compliance and financial processes including payroll reconciliation, invoicing, reporting and driver documentation, helping to ensure operational accuracy, compliance and strong safety outcomes across our transport operations.

This is a permanent full-time opportunity, working Monday to Friday from 8:00am to 4:00pm. Key Areas: 

  • Process driver run sheets, invoices and subcontractor payments accurately and in a timely manner
  • Deliver weekly payroll reconciliation and prepare P&L reporting across contractor, labour hire and operational costs
  • Conduct fatigue audits and ensure compliance across driver documentation, run sheets and safety records
  • Coordinate invoicing for Mackay and Bowen operations while providing relief support across additional sites as required
  • Maintain accurate records including customer dockets, PODs, compliance documentation and operational reporting data
  • Prepare weekly and monthly reporting, forecasts, toolbox minutes, WHS records and commitment registers

Are you the one? 

You're a proactive and detail-focused administrator who enjoys working in a busy operational environment and can confidently juggle multiple priorities. You can demonstrate:

  • Prior experience in an administration and/or compliance role within the Transport or Logistics industry
  • Strong working knowledge of SAP, Microsoft Excel and Transport Management Systems such as Blue Yonder
  • Experience supporting payroll reconciliation, invoicing, contractor cost tracking and financial administration processes
  • Ability to work autonomously and effectively manage competing priorities in a deadline-driven environment
  • Proven commitment to safety, fatigue compliance and operational governance requirements
  • High attention to detail with the ability to produce accurate reporting and maintain compliance documentation
