The Opportunity

We are excited to invite applications for the role of Group Executive Assistant within the Alumni Engagement team at Monash University. In this vital position, you'll provide high-level administrative support to the Deputy Director, Alumni Engagement, and help coordinate projects, events and general administrative tasks that contribute to the team’s success in a dynamic and fast-paced environment.

As a Group Executive Assistant, you'll be responsible for managing a wide range of administrative tasks, including drafting correspondence, scheduling meetings, and coordinating travel arrangements. You will support event planning, facilitate communication across teams, and provide secretarial support for committees, as well as managing documents, monitoring budget reports, and assisting with purchasing and credit card reconciliation via Coupa. Additionally, you’ll actively contribute to continuous improvement initiatives and ensure smooth workflow by maintaining effective record management systems. This role offers the chance to collaborate with a network of internal and external stakeholders, playing a key part in maintaining excellent organisational practices and service delivery.

To succeed in this role, you'll need extensive experience providing executive support in a fast-paced environment, with exceptional attention to detail and strong organisational skills. You must be able to manage priorities, handle confidential information, and meet deadlines while maintaining a high standard of customer service. Strong written and verbal communication skills are essential, along with the ability to collaborate effectively with diverse stakeholders. A high level of computer literacy, including proficiency in Microsoft Office, Google Suite, Coupa, and Concur, is also required.
