The Opportunity
Are you an organised, detail-focused professional with a passion for delivering exceptional business administration and with experience in executive support? We are seeking a Business Support Officer to provide a broad range of cross-divisional services that enable operational excellence across our University.
In this dynamic role, you will work closely with Buildings and Property (B&P) teams particularly the Business Support and Campus Operations teams to support key business functions, financial processes, and strategic initiatives. From executive support to two busy directors to communications support and business administration, your contributions will help create a responsive and efficient working environment.
Key Responsibilities

Provide confidential executive and administrative support, including calendar management, travel bookings, document preparation, and event coordination.

Organise and support committees and working groups by managing agendas, minutes, and follow-up actions.

Act as liaison between senior managers and stakeholders, facilitating meetings and communication.

Assist with financial processes such as procurement, invoicing, and compliance.

Investigate operational issues, prepare reports, and maintain procedures for efficiency and compliance.

Build strong stakeholder relationships and contribute to planning, resource allocation, and continuous improvement.
About You
You bring 3–5 years of proven experience as an Executive Assistant, ideally within a facilities management or complex corporate environment. You thrive in large organisations where priorities shift quickly and require resilience and adaptability.

Proactive and resourceful, you anticipate executive needs, take initiative, and deliver confidential, high-level support without needing constant direction.

Known for your exceptional organisational skills, you manage competing priorities under pressure while maintaining accuracy and professionalism.

A strong communicator with discretion, you build trusted relationships and handle sensitive information with care.

You’re an analytical problem-solver, able to resolve issues independently without repeatedly seeking guidance.

Comfortable working autonomously, you exercise sound judgment and initiative while being a collaborative team player.

Highly proficient in Microsoft Office (Word, Excel) and quick to learn new systems and processes.
