The Opportunity
We’re seeking a proactive and professional Executive Assistant to support the Head of Department and senior leaders within the Department of Civil Engineering. This is an exciting opportunity to play a key role in enabling the smooth day-to-day operations of a dynamic academic environment.
In this role, you’ll provide high-level administrative, secretarial, and office management support, ensuring the efficient functioning of the Head of Department’s office. Your responsibilities will include managing calendars, coordinating meetings and events, booking travel and accommodation, processing reimbursements through Concur, maintaining internal communication platforms (including intranet and web profiles), preparing documentation, and handling internal and external enquiries.
You will also provide executive support to departmental committees and working groups, including venue coordination, preparing agendas and papers, taking minutes, and ensuring follow-up actions are completed.
To be successful in this role, you’ll have a relevant tertiary qualification or equivalent experience, along with strong organisational and communication skills, attention to detail, and the ability to work with discretion and initiative in a fast-paced environment.
