The Opportunity
The School of Public Health and Preventive Medicine (SPHPM), Australia’s largest school of public health, plays a pivotal role in delivering impactful research and education that shapes health outcomes across communities and healthcare systems.
We are seeking an experienced and driven Senior Project Officer to coordinate a diverse portfolio of high-impact initiatives and operational functions across the School. This is a vital role supporting the School's core business units, ensuring business continuity, and enabling the delivery of seamless administrative services.
As the Senior Project Officer, you will be the key operational lead on a range of strategic and high-level projects. Your responsibilities will span multiple domains, including:
- Strategic project coordination – from HR system implementations (e.g. Sessional Academic Management [SAM], Timesheet Administration Management [TAM]) to annual university reporting and insurance surveys
- Education support –end-to-end delivery of SPHPM's Honours programs (BMedSc, BiomedSci, BHSc), coordinating assessments, and Moodle uploads through the year, as well as planning and delivering annual Honours information sessions.
- Stakeholder liaison – acting as a central conduit between the School and Monash HR for terms of engagement and Offers of Work for teaching associates across more than 45 education programs, as well as management of over 200 adjunct appointments within SPHPM,
- Secure Research Document archiving – managing archiving services ensuring storage and access meet Legal and Ethics Committee requirements, acting as a key liaison between the school and the Archiving Service Provider to track documents and coordinating destruction processes.
- Student and staff engagement – delivering orientations, supporting mental health and OHS, and providing expert advice on adjunct appointments and secure records management
- Governance and committee support – providing secretariat duties and high-level documentation for School committees
This role requires exceptional project management capability, a collaborative mindset, and a commitment to service excellence.
About You
We're looking for a proactive and capable professional who can lead projects with confidence and deliver outcomes that support the School’s academic and operational priorities. You will bring:
- A degree in a relevant field with extensive experience, or equivalent relevant education and training
- Proven experience managing complex projects with accountability for scope, timelines, risk and stakeholder engagement
- Outstanding organisational skills, and attention to detail with the ability to manage competing priorities and drive deadlines
- Strong interpersonal and written communication skills, with the ability to influence and build rapport across teams
- A problem-solving mindset with high-level analytical skills and the ability to provide recommendations to senior stakeholders
- Demonstrated experience using digital tools to support administration and reporting (e.g. project management software, HR platforms, Excel)
