The Opportunity

As a key member of the Office of the Chief Operating Officer, the Senior Administrative Officer delivers high-level administrative and office management support to ensure the smooth, professional and efficient operation of the Office and its broader Portfolio. Working closely with the Chief of Staff and team members, this role prepares documentation, coordinates meetings and events, manages procurement processes and records, and provides timely, sound advice that enables seamless service to staff, clients and stakeholders.

In this position you will be responsible for planning, implementing and managing a wide range of administrative and office support services to ensure the smooth and professional operation of the Office and the Portfolio. This includes scheduling meetings, drafting and editing a variety of documents, processing invoices, reconciling credit cards, coordinating events and travel, and maintaining accurate records and filing systems. You will ensure clients receive responsive, professional service that meets privacy, confidentiality and compliance requirements, while contributing to continuous improvement initiatives that streamline processes and enhance efficiency. You will analyse and input data, support research activities, and ensure information is securely stored, effectively shared and meticulously maintained. In addition, you will provide timely specialist advice, build strong working relationships across stakeholder groups, and work collaboratively with colleagues to understand business needs and deliver consistently high-quality administrative support.

To be successful in this role you will have relevant qualifications or significant administrative experience in large, complex organisations, along with a proven track record of delivering accurate, confidential and high-quality administrative support. You will bring exceptional organisational and time-management skills, a commitment to outstanding client service and the ability to balance independence with effective teamwork. Strong analytical and problem-solving capabilities, excellent written and verbal communication skills, and the confidence to engage diverse stakeholders will be essential. You will also demonstrate highly developed digital literacy, particularly across Microsoft Office and Google applications, enabling you to work efficiently in a dynamic, fast-paced environment.
