The Opportunity

The Group Executive Assistant provides high-level executive and administrative support to the Australia Indonesia Centre (AIC), ensuring the smooth and professional operation of the Centre. This position works closely with the Executive Director and Chief Operating Officer, managing diaries, communications, travel, meetings and workflow coordination, while also supporting Centre-wide administrative functions, stakeholder engagement and operational processes across programs, projects and events.

This position will be responsible for providing a broad range of high-level executive, administrative and operational coordination support across the AIC, including calendar and inbox management, stakeholder liaison, meeting and event coordination, travel and logistics arrangements, and financial and procurement administration such as invoice processing, contract support, credit card reconciliation and expense reimbursements. The role will coordinate key Centre, program and project meetings by preparing agendas, papers and minutes, maintaining action registers and ensuring timely follow-up. It will also act as a central point of liaison between senior leaders, program teams, partners and external stakeholders to support effective communication and workflow. In addition, the role will research and provide advice on administrative and operational improvements, contribute to continuous improvement initiatives, and maintain robust records, filing and workflow systems. It will build strong relationships across the AIC network to ensure efficient, consistent and high-quality administrative support.

To be successful in this role you will have experience providing high-level executive and administrative support in a complex, fast-paced environment, with strong attention to detail and accuracy in handling confidential information. You will bring excellent organisational and time management skills, with the ability to prioritise competing demands and meet deadlines. Strong interpersonal and communication skills will enable you to engage effectively with a diverse range of stakeholders and work collaboratively within a team. You will demonstrate sound judgement, initiative and problem-solving ability, alongside experience supporting financial and procurement processes, coordinating meetings and events, and maintaining effective records and workflow systems. Highly developed computer literacy, including Microsoft Office, will also be essential.
