The Opportunity
As a key member of the Office of the Chief Operating Officer, the Senior Administrative Officer delivers high-level administrative and office management support to ensure the smooth, professional and efficient operation of the Office and its broader Portfolio. Working closely with the Chief of Staff and team members, this role prepares documentation, coordinates meetings and events, manages procurement processes and records, and provides timely, sound advice that enables seamless service to staff, clients and stakeholders.
Key Responsibilities include
- Plan, implement, and manage administrative support services to ensure smooth daily operations of the Office and the Portfolio.
- Handle calendar scheduling, meeting coordination and draft/edit complex documents and processing invoices, reconciling credit cards, coordinating events and travel, and maintaining accurate records and filing systems.
- Deliver responsive, high-quality client service while adhering to privacy and confidentiality standards.
- Build strong collaborative networks across diverse stakeholder groups to align administrative support with business needs.
- Identify and contribute to initiatives that streamline processes, enhance efficiency, and elevate service quality.
To be successful in this role you will have:
- Relevant qualifications or proven administrative experience within large, complex organisations.
- Track record of delivering accurate, high-quality and confidential support.
- Outstanding time management with the ability to balance autonomous work and collaborative teamwork.
- Strong analytical mindset to navigate complex tasks and solve operational challenges.
- Exceptional written and verbal skills, with the confidence to interact with diverse stakeholders.
- High proficiency in Microsoft Office and Google Workspace applications in dynamic, fast-paced environments.
