About the role

The Administrative Officer – Paediatric Admissions is accountable to the Manager Paediatric Admissions Centre & Paediatric Emergency Clerical Services, Health Information Management Services for the provision of a confidential reception and administrative support service. The incumbent will support clinical staff in the delivery of health care services within the scope of Admissions for all Paediatric Admissions to the Women’s and Children’s Health Network, which includes the registration and admission of patients.

Key duties of the role

  • Confidential, courteous, empathetic, and prompt management of enquiries, both face to face and over the telephone, redirecting or actioning as appropriate.
  • Operation of the telephone system and overhead communication system is coordinated.
  • Incoming and outgoing phone calls (including paging) are appropriately coordinated, screened, and initiated for staff and clients.
  • Messages are accurate and appropriately distributed.
  • Appropriate resolution of complex enquiries and customer complaints in collaboration with colleagues and management.

Skills and Experience

  • Use initiative, be resourceful and work under limited direction with competing priorities in an adverse, high workflow environment, set priorities, to work to deadlines and perform all duties effectively with a high level of accuracy.
  • Communicate effectively with consumers, staff, external agencies, and members of the public demonstrating a high level of interpersonal skills and the ability to provide superior telephone manners.
  • Demonstrated experience in the provision of an efficient front line, customer focussed service.
  • Working independently and within a team environment with the ability to confidently contribute to the team goals and outcomes.
