It is the responsibility of the Senior Administrative Assistant to provide high level administrative and basic analytical support to the regional management team. Major challenges currently associated with the role include - Working in a highly dynamic and ever-changing environment to meet the needs of an emergency health service, Working in a self-directed, semi automatous environment to prioritise multiple tasks and meet team goals and providing support of staff who work a 24-7 roster.

Key Responsibilities: 

Office Management:
- Support the Operations Manager with administrative tasks related to human, financial, and physical asset management.
- Establish, maintain, and refine office procedures and systems to support regional administrative functions.
- Oversee the day-to-day activities of regional administrative functions and ad hoc staff to ensure efficient operations.

Performance Reporting:
- Assist with managing performance data by collating and preparing regional performance reports.
- Provide basic analytical interpretation of data.
- Develop basic recommendations to support the Operations Manager in managing the region.


Administrative Support:
- Provide high-level confidential administrative support to the Operations Manager, in line with the Metro administrative manual.
- Manage incoming and outgoing correspondence, ensuring urgent items are actioned promptly.
- Provide administrative support to Managers within the region, as agreed with the Operations Manager.

Meeting and Event Coordination:
- Arrange, coordinate, and book resources required for meetings, conferences, and workshops, including setting agendas, arranging venues, catering, travel, and accommodation.
- Prepare correspondence and papers for meetings attended by the Operations Manager.
- Prepare agendas, take and distribute minutes, decisions, actions, and related correspondence for meetings.

Project Management/Coordination:
- Assist with the implementation and coordination of projects, conduct research, and develop business plans as requested.
- Develop appropriate databases and administrative systems to support project management.

Leadership:
- Model desired team behaviours, such as punctuality, flexibility, customer service, team support, appropriate dress code, and commitment to self-development and continuous improvement.
- Actively contribute to the creation of the regional business plan and successfully implement assigned initiatives.
