About the role: 

Reporting to the Administration Manager, this role is responsible for providing the first point of contact for patient, visitors and staff. The WAA performs general administrative and clerical duties pertaining to the management of patients in the ward/unit and facilitates communication with Patient and Central Flow Coordinator and other units to ensure efficient use of beds.  The role assists Nursing and Medical staff to ensure the smooth functioning of the ward/unit and provides a customer focused reception service for patients, families and staff.

Duties for the role will include:

  • Ensuring that requests of the patient’s family re visitors are adhered to,
  • Answering all incoming telephone calls and dealing with routine patient enquiries – using judgement in conveying appropriate information,
  • Welcoming and directing visitors to the patient concerned,
  • Preparing patient notes on admission and sort notes prior to discharge,
  • Filing results in the patient medical record,
  • Receiving handover from NUM/Ward Co-coordinator regarding patient information to enable the appropriate assessment of patient needs (e.g. requirement for escort, infection control, transport arrangements, transit lounge etc),
  • Communicating relevant patient management information obtained from other departments promptly to the NUM/Ward Coordinator

About you:

  • Demonstrated high level interpersonal skills,
  • Demonstrate problem solving and decision-making skills,
  • Experience in general administrative activities,
  • Experience in the use of computers, patient information systems including email,
  • Experience in a customer service role,
  • Experience working in a clinical environment,
  • Experience working with distressed patients/carers with empathy
