The Administration Officer is responsible for ensuring the efficient and timely reconciling, recording and reporting of building requests for maintenance, service contract and security information including processing of all departmental procurement invoices. Along with data capture and inputting of all required energy data ensuring accuracy, Ensuring the concise development of mandated reporting for government, annual reports and record management.

Key Responsibilities:

  • Develop and maintain departmental procedures, operational manuals, and filing systems in accordance with organisational records management standards
  • Provide comprehensive administrative support including correspondence drafting, meeting coordination, travel arrangements, and maintenance of stationery supplies
  • Process and track building services invoicing, resolve payment discrepancies, and prepare financial documentation for cross-charging arrangements
  • Manage facilities databases, coordinate maintenance requests, and prepare reports on key performance indicators
  • Coordinate energy management information systems including mandatory government reporting and annual compliance requirements
  • Serve as primary contact point for building service requests, providing timely responses to telephone calls, emails, and visitor enquiries
