About the role

As a Waitlist Coordinator, you will be an essential part of the clinical unit, providing adaptive and reliable administrative support that keeps patient care moving smoothly. Working closely with the Head of Unit and key stakeholders, you’ll ensure the accurate and efficient management of the surgical waitlist, booking processes and day-to-day administrative functions. Your work will help create a well-organised, responsive environment where patients feel supported and informed throughout their care journey.

In this role, you’ll collaborate with a multidisciplinary team to maintain high-quality data systems, develop streamlined workflows and ensure equitable, timely access to surgery in line with internal and external benchmarks. With a high level of independence and autonomy, you will take primary responsibility for managing surgery and procedural bookings, contributing to transparent, safe and patient-centred care. This is a meaningful opportunity for someone who takes pride in accuracy, teamwork and making a positive difference in the patient experience.

About You

You’re an organised, proactive and patient-focused administrator who thrives in a fast-paced healthcare environment and takes pride in delivering accurate, reliable and supportive service.

  • A capable and confident administrator, bringing experience in hospital or healthcare settings—especially surgical bookings or waitlist management—along with strong skills in Microsoft Office and electronic patient systems such as Sunrise, ORMIS, OACIS or similar.

  • Highly organised with excellent attention to detail, able to prioritise workloads, meet tight deadlines, manage competing demands and maintain accuracy while working both independently and as part of a multidisciplinary team.

  • A strong communicator and team contributor, with the ability to liaise professionally with patients, clinicians and colleagues, maintain confidentiality, support junior staff, and adapt to changing service needs with sound judgement and initiative.

  • Knowledgeable and committed to best practice, with understanding of elective surgery workflows, urgency categories, scheduling processes, SA Health policies, privacy requirements, medical terminology and effective administrative systems.
