The Limestone Coast Local Health Network is seeking a dedicated and customer-focused Administration Officer – Ward Clerk to join the Maternity Ward at Mount Gambier & Districts Health Service. In this vital frontline role, you will provide courteous, confidential, and efficient administrative and customer service support to patients, visitors and staff. You will be responsible for maintaining accurate patient records (both electronic and hardcopy), assisting with admissions and discharges, supporting the multidisciplinary team, and ensuring smooth day-to-day ward operations. This position plays an integral part in delivering a positive experience for women and families accessing maternity care.

Key Responsibilities:

  • Deliver professional, courteous, and confidential customer service to patients, visitors, staff and the general public - both in person and over the phone.

  • Respond to routine patient enquiries and liaise with nursing, medical, and clerical staff to ensure accurate and timely information is provided.

  • Register patient details in Sunrise (EMR), maintaining accurate admissions, discharges, transfers, pre-admission updates and patient identification.

  • Scan documents and maintain all patient medical and general records in accordance with SA Health standards, legislation and disposal schedules.

  • Provide administrative support for patient flow, including coordinating admissions, transfers, and discharge communication.

  • Maintain ward stock supplies, order equipment and stationery via Oracle, and lodge maintenance requests when required.

  • Distribute mail, manage incoming correspondence, and assist with general administrative duties across the ward.

  • Support effective teamwork and communication, contributing to a respectful, culturally safe and patient-centred environment.

  • Participate in continuous improvement initiatives and adhere to infection control, WHS, and SA Health policies and procedures.

Who Are We Looking For?

We are seeking someone who is:

  • Organised and reliable, with the ability to manage competing priorities and work well under pressure.
  • Professional and confidential, with strong interpersonal skills and the ability to communicate effectively with staff, patients, families, and external providers.
  • Team-oriented, while also able to work with limited supervision.
  • Customer-focused, demonstrating empathy, patience and a commitment to high-quality patient service.
  • Technologically confident, with proven data entry and computer skills, ideally including experience with Sunrise EMR or similar systems.
  • Experienced in administrative support roles - particularly within healthcare (desirable but not essential).
  • Knowledgeable about basic clerical procedures, customer service principles, and safe work practices.

This is a part time vacancy, working 35 hours per fortnight and salary will be adjusted according to actual hours worked.
