About the role

The Administrative Officer, Paediatric Rehabilitation, is responsible for providing confidential and comprehensive administration support of a high quality for the Paediatric Rehabilitation Department.

The Paediatric Rehabilitation Department provides services to children and young people with physical and cognitive impairments due to conditions such as acquired brain and spinal cord injury, cerebral palsy, stroke and other disorders. 

The ability to multi-task with good attention to detail is essential.  Front office duties include telephone answering, managing bookings for medical clinics, greeting patients on arrival, assisting the multi-disciplinary team, and any other admin related tasks as required.

Key duties of the role

  • Providing a telephone and reception service to the Paediatric Rehabilitation Department including referrals, appointments and other enquiries.
  • Input of appointment data into hospital systems in an accurate and timely manner.
  • Book patient appointments and notify of follow up appointments in a timely manner.
  • Liaise effectively with patients and their families for rescheduling of appointments.
  • Maintenance of waiting list and completion of Botulinum Toxin A admission paperwork as required

Skills and Experience

  • Experience using data base systems or patient information systems such as Sunrise EMR
  • Working knowledge of the Microsoft Office products, in particular Word, Outlook and Excel.
  • Ability to work autonomously and effectively under pressure with conflicting priorities.
  • Ability to deal with sensitive issues, empathise with customers and staff and to maintain confidentiality.
  • Ability to work within a multidisciplinary team.
