About the role

The Administrative Officer delivers confidential reception, secretarial, and admin services, maintaining data accuracy and patient confidentiality. The Administrative Officer provides customer service, manages enquiries, and maintains medical records and documents in a timely and professional manner.

Key duties of the role

  • Provide timely and professional response to patients, visitors and staff, both face to face and over the phone.
  • Answer incoming telephone calls, dealing with routine patient enquiries in consultation with clinical staff.
  • Utilise conflict management skills when dealing with challenging clients.
  • Maintain appointment databases and spreadsheets.
  • Retrieve, deliver, and prepare medical records for patient care or attendance.

Skills and Experience

  • Experience in providing a confidential reception, secretarial and administrative support service.
  • Experience with word processing and Microsoft Office products.
  • Ability to handle conflict situations in a calm and impartial manner.
  • Effective communication skills and ability to work with empathy.
  • Demonstrated initiative, good organisational skills, and attention to detail.
