About the role

The Executive Administrative Assistant provides high-level administrative and confidential support to the Division of Surgical Services, managing directors’ diaries, correspondence, complaints, and office systems while assisting with HR and finance tasks to ensure efficient divisional operations.

Key duties of the role

  • Work with the Divisional Director’s to coordinate their diaries, prioritise tasks, and direct telephone calls.
  • Ensure that enquiries, issues and complaints are brought to the attention of the appropriate Divisional Director in a timely manner.
  • Maintaining a consumer complaints/incidents database.
  • Draft communications, prepare and distribute agendas, minute take, and prepare confidential documents and correspondence.
  • Maintaining booking schedules for the meeting rooms and divisional equipment.

Skills and Experience

  • Experience in a similar role, highlighting sound organisational skills and the ability to prioritise varying and conflicting workloads.
  • Experience in providing a confidential secretarial support service for Executive level managers.
  • Sound experience in preparing correspondence, agendas and minute taking.
  • Proven ability to work with a high degree of independence.
  • High level of analytic/attention to detail/research related skills.
