About the role: 

Reporting to the Administration Manager - Secretarial Services, this role is responsible for providing the best practice administrative services to ensure effective and efficient day-to-day management of the Unit.

Duties for the role will include:

  • Liaising with clinical staff for the management of patient elective booking, admission and pre admission requirements
  • Continually prioritising workloads in high demand area and be adaptable to short notice changes to elective surgery in situations of demand management of State of Emergency.
  • Responding to enquiries (local and interstate) from nursing, patients, relatives, medical, company representatives, solicitors, and members of the public.
  • Providing a proficient communication link for the Unit.
  • Liaising with the multi-disciplinary team to ensure the electronic medical record system (EMR) maintains accurate and appropriate patient records.
  • Management of the Cardiac Flats including patient allocation, scheduling, communication, billing and reporting
  • Providing leadership and supervision to administrative support staff and the monitoring and efficient allocation of workloads.
  • Providing administration support in all aspects of the recruitment process from scheduling interviews in Page Up and updating throughout the recruitment process, preparing panel reports and performance development reviews (PR&D), according to relevant policies and procedures.
  • Processing annual leave, conference leave applications and reimbursements for medical staff, ensuring all relevant rosters and databases are updated.

About you:

  • Experience in the provision of a high-level confidential secretarial, administrative and clerical service.
  • Possess a high level of organisational skills.
  • Demonstrated ability to exercise judgement and initiative.
  • Demonstrated ability to work within multidisciplinary team environment effectively.
  • Experience in supervising and leading a team of workers in a positive manner.
  • Experience with patient admission and discharge processes
  • Experience in problem solving, diffusing conflict and adapting to change.
  • Proven experience in basic computing skills, including email, diary management and word processing.
