About the role

The Administration Team Leader is responsible for the day-to-day management of effective and efficient delivery of administrative systems, resourcing and services to support client service delivery across their region

Working in collaboration with the Regional Team Manager of their region, the Administration Team Leader will manage and maintain administrative systems, resourcing and services to support effective service delivery outcomes.

The successful applicant will use their initiative, strong organisational and strategic planning skills to streamline administrative processes and lead the development of a capable, cohesive and well supported administration workforce.

Key duties of the role

  • Lead and coordinate regional administrative services, including reception, scheduling, systems management and day-to-day operational support across multiple sites.
  • Supervise and manage administrative staff, including rostering, performance development, recruitment, training and workload allocation.
  • Manage administrative systems, resources and reporting processes, including ICT access, asset registers, compliance data, invoices and service-related databases.
  • Support the Regional Team Manager by managing enquiries, preparing documentation, attending meetings/committees and escalating or resolving operational issues.
  • Drive a positive, safe and efficient team culture while contributing to continuous improvement, quality assurance and process enhancement initiatives.
  • Support and enhance workforce capability across all sites and services within the region, including the requirement to regularly attend each site to provide on-the-ground guidance, coaching and operational support. 

Skills and Experience

  • Strong administrative and systems management skills, including records management, reporting, and use of Microsoft Office (Word, Excel, PowerPoint) and related platforms.
  • Highly developed communication and interpersonal skills, with the ability to engage, negotiate and work effectively with a wide range of internal and external stakeholders.
  • Proven ability to prioritise workloads, manage competing deadlines, problem-solve, make sound decisions and work effectively under limited supervision.
  • Demonstrated experience in staff supervision, training, rostering, performance management, recruitment support and workload coordination.
  • Sound understanding of WHS, risk management, public sector administration, continuous improvement and quality customer service principles.
