Play an essential role in supporting administrative functions that directly contribute to patient care and service delivery.

About the role: 

The Administration Assistant is accountable to the Director Digital Health SALHN and plays a key role in delivering high-quality, timely, confidential administrative support to the Director and will assist in the effective delivery of administration support for the team.

Duties for the role will include:

  • Providing efficient and effective administration support to the Director Digital Health, SALHN.
  • Providing executive officer support to committees including agenda preparation, minute taking and follow up of action items
  • Assisting with recruitment process and completing HR paperwork.
  • Ensuring an accurate, efficient and effective administrative support service is provided by developing, monitoring and modifying as required appropriate administrative office and organisational systems and procedures.
  • Monitoring and reviewing assigned projects including negotiating and defining risk and utilizing project management methodologies, schedules and resources.
  • Alerting staff to emerging issues and enquiries, and assisting in responding to such enquiries
  • Reviewing processes, reporting, standard letters and communication materials.

About you:

  • Extensive experience in the provision of secretarial services to senior managers.
  • Demonstrated experience in the preparation of committee papers, taking minutes at meetings, and following-up action items.
  • Ability to communicate effectively with a broad range of people in a verbal and written manner.
  • Ability to handle confidential and sensitive information in a professional manner.
  • A resourceful and resilient personality with an approachable manner.
  • High level of personal organisation skills and the ability to work under pressure and to meet tight deadlines.
  • Interpersonal skills consistent with providing high level quality customer service and maintaining the trust and co-operation of others.
