An opportunity for an experienced Executive Assistant to work at the heart of allied health leadership, contributing directly to outcomes that matter for patients and the broader community.

About the role: 

Reporting to the Director Allied Health & Child Development, this role is integral to provision of an effective and efficient confidential administrative support service to the Director Allied Health & Child Development, in the Women’s & Children’s Division, Southern Adelaide local Health Network (SALHN).

Duties for the role will include:

  • Providing a confidential executive secretarial and support service using initiative and judgement to interpret guidelines and developing and implementing procedures to ensure an efficient service.
  • Working with the Director Allied Health & Child Development and Service Managers on day-to-day matters to facilitate effective utilisation of their time including diary management
  • Providing reception services ensuring that telephone calls and enquiries are handled in a courteous, friendly and effective manner
  • Gathering data and information and providing reports.
  • Demonstrating the ability to work consistently positive within a team (and/or across teams) to achieve team goals
  • Working with the Director Allied Health & Child Development to monitor workloads and administrative outcomes, effectively managing own individual performance against agreed objectives and in accordance with the appropriate policies and procedures and standards of practice
  • Tracking incoming/outgoing correspondence and ensuring that urgent correspondence is attended to and meets the deadlines specified.
  • Preparing, collecting and distributing information required for meeting including agendas, minutes, updating department SharePoint page, and facilitating the actioning of relevant action items

About you:

  • Experience in providing a professional and high-level confidential administrative support service to an Executive.
  • Demonstrated ability to determine and organise priorities, plan appropriately, meet deadlines under pressure and take initiative where appropriate.
  • Demonstrated ability in using initiative, enthusiasm and drive and to work with minimal supervision in meeting agreed objectives.
  • Proven ability to use initiative and respond appropriately in the absence of the Director Allied Health & Child Development or Service Manager.
  • Proven ability to work with minimal supervision and with limited direction.
  • Demonstrated ability to prepare timely, clear and concise written communication.
  • Ability to work effectively in a team and to adapt to a changing work environment.
