About the role

Are you an organised, people-focused professional who enjoys making a meaningful difference behind the scenes? As our Administration Coordinator, you'll play a pivotal role in ensuring the smooth day-to-day operation of our Medical Imaging service. From coordinating reception and patient administration to overseeing billing, data management and records, you'll help create a welcoming and efficient experience for patients, clinicians and colleagues alike. Your leadership will also extend to coordinating staff rosters, supporting the development of administrative team members through training and performance reviews, and ensuring the office is well-equipped to meet the needs of a busy clinical environment.

Working closely with the Administration Manager, you'll be a trusted point of contact for medical imaging staff, consulting clinics, hospital wards and external stakeholders, building strong relationships through clear communication and exceptional service. You'll also have the opportunity to step into the Administration Manager's role when required, providing leadership and guidance while championing best-practice administrative processes. About You

We're looking for an experienced and approachable administration professional who thrives in a fast-paced healthcare environment and is passionate about delivering exceptional service. You are an organised leader with excellent communication skills, sound judgement and the ability to support both patients and colleagues with professionalism and compassion.

  • Proven leadership and coordination skills – Experience leading, mentoring and developing administrative teams, including staff rostering, induction, training and performance development, while fostering a positive and collaborative workplace.
  • Exceptional communication and customer service – Highly developed interpersonal and written communication skills, with the ability to build positive relationships, provide outstanding customer service and communicate effectively with patients, clinicians, multidisciplinary teams and external stakeholders.
  • Strong administrative and problem-solving capability – Demonstrated ability to manage competing priorities, exercise initiative and sound judgement, resolve complex issues, respond to complaints effectively and implement efficient administrative processes in a dynamic environment.
  • Relevant healthcare administration experience – Experience in a senior administrative role within a healthcare setting, ideally Medical Imaging, with knowledge of medical terminology, radiology procedures and patient administration systems such as Sunrise EMR, ESMI and Radiology Information Systems.
